Your patients have opinions about your hospital. Nobody is collecting them.
The ones who speak up on their own are almost never the happy ones, and what they write is what the next family reads. CareLoop asks everyone, on WhatsApp, after every discharge.

How youusually find out
A patient's relative posted about their visit in three housing society WhatsApp groups before anyone at the hospital heard about it. Your grievance officer found out from a staff member who saw the screenshot.
One phone call the same day would have settled it. Nobody knew to make it.
Four gapsEvery month, hundreds of patients leave your hospital with an opinion. You hear almost none of it.
01The patient goes home and you never hear anything.
Nobody calls, nobody asks. Whatever happened to them, the hospital has no record of it.
No record kept, nothing to review 02
Your Google rating is written by your worst days.
Happy patients almost never post. So the page a new family reads is made up of the bad days.
Written by the few, read by everyone 03
By the time you hear about it, it is already a WhatsApp forward.
It spreads outside the hospital first. You are the last to know.
Screenshot first,phone call second 04
Nobody can tell you how last month actually went.
No scores by department, no idea how many complaints got sorted, no way to see if things are getting better.
Every decisionruns on feeling, not data What this costs a hospital discharging 400 to 600 patients a month, per year ₹7,80,000 / year
None of it shows up on a bill, so nobody argues about it.
Illustrative estimate, not published research.
How it worksYour team sends one message. Everything else happens on its own.
Your discharge desk sends one WhatsApp when a patient leaves. Everything after that happens on its own, from the hospital's own number.
STEP 01 · 20 sStaff logs the discharge
One question at a time. No form, no login, nothing to learn after the first day.
STEP 02 · T+4hWe ask the patient, privately
One question on WhatsApp, 1 to 5, once they are home and the day has settled.
STEP 03 · ~2 minThe score goes where it should
A 1 or 2 reaches your grievance officer in about two minutes. Everyone who answers gets the same review invitation two hours later, whatever they scored.
STEP 04 · 1st of monthA monthly report, highest and lowest department
Scores, complaint types, and how long things took to close. Arrives on the 1st.
One discharge, three handsets Real WhatsApp, on the hospital's own number. Nothing else to open. Discharge desk One message per discharge, and the yes that has to come before anything else. Sunrise Hospital (WhatsApp business account) Discharge deskThe desk answers one question at a time, so there is nothing to fill in wrong. No patient is messaged unless this says yes.
Patient at home One question, four hours after they go home. Only patients who said yes. Sunrise Hospital (WhatsApp business account) Patient at homeThe review invitation goes to every patient who answers. Same wording, same delay, whatever they scored.
Grievance officer Told in about two minutes. The patient's number comes only when asked for. Sunrise Hospital (WhatsApp business account) Grievance officerPriya's number is not in the alert. It only arrives after CALL PATIENT is tapped, so asking for it is a step that gets written down.
CareLoop Resolve · gradingEvery complaint is graded the moment it arrives, and the grade decides how often your officer gets chased.

A department with fewer than ten replies is left out. With three replies an average is really one person's opinion, and in a small department everyone would know whose.
The repeat-complaint alert goes to the officer
Every night we count complaints by department and type. If the same pair reaches three in seven days, or five in thirty, the grievance number is told. It is plain counting. Whoever reads it decides what it means.
The log cannot be changed
Every event is written the moment it happens, into a log nobody can edit or backdate. Not your staff, not us. It helps with an audit. It is not your hospital's official grievance system, and the person on the grievance number is someone CareLoop sends alerts to, not an appointed grievance officer.
Pricing · one planOne plan. No per-patient charges.
One plan, because choosing between plans would mean guessing how many complaints you get before you have any way of knowing.
CareLoop Standard Monthly ₹24,999 Setup, one-time, per location ₹9,999Up to 800 discharges a month. More than that, or more than one location, we quote from ₹34,999.
What the one-time fee coversWe register your hospital on the WhatsApp Business Platform, write the message templates, and submit them to Meta for approval. We configure the three numbers, discharge desk, grievance officer and owner, and set your CSAT timing, review invite delay, and department list. We set up your Google Business Profile review link so every patient who answers gets a direct path to leave a review. Before go-live, we run a test discharge end to end so you can see every message before a real patient does. We train the discharge desk and the grievance officer in one session, usually under an hour.
Meta decides how long approval takes. We cannot speed that up, but we have done this before and we will tell you honestly what to expect.
Start with one locationOne complaint handled too late costs more than six months of this.
IncludedPatient CSAT: One WhatsApp question, four hours after discharge. A number from 1 to 5. Nothing for the patient to download.
Complaint categorisation: The patient picks what went wrong: waiting, billing, behaviour, cleanliness or communication. Nothing for you to read through.
Grievance alerts: A score of 1 or 2 reaches the grievance officer in about two minutes, graded by severity, with buttons to acknowledge and resolve.
Automatic follow-up: If a complaint is not picked up, the officer is chased. How often depends on how serious it is. Up to three reminders, then it stays in the morning list until it is closed.
Review invitations: Every patient who replies gets one. Same wording, same two-hour delay, whatever they scored. No score filtering, ever.
Recurring-issue detection: Every night, if the same department and complaint type crosses a threshold, the operations number is told.
Monthly report: Scores, complaint types, and how long things took to close. Your best and worst department. Arrives on the 1st.
Morning digest: At 08:00, the operations number gets a count of anything that needs attention: consent gaps, abandoned intakes, unanswered CSATs, open grievances.
What we don't doWhat CareLoop will not do.
No score filtering
The invitation is the same for a 1 and a 5. Sending it only to happy patients is against the rules and gets listings taken down.
We are not your grievance officer
We record what was done and when. The job, and the person doing it, stay yours.
We do not make you DPDP-compliant
We only message patients who said yes, and we keep the record. The responsibility stays with you.
We cannot rush Meta
We write and send the messages in for approval. How long that takes is up to them.
No dashboard
On purpose. Three phones and one monthly report. Nothing new to log into and forget about.
Nothing made up
Every number comes from something a patient actually replied. Nothing is guessed.
The record is being written either way.
Patients are making up their minds today. The only question is whether it reaches your grievance officer on Tuesday, or a WhatsApp group on Friday.
If this sounds familiar, let's talk 20 minutes · one location · nothing needed from youFor hospitals that would rather hear it from the patient on the day than read it from a stranger a week later.
Patient feedback on WhatsApp, for hospitals Consent-based · Audit-supportingQuestions hospitals ask before saying yes
How does CareLoop ask patients for feedback?Your discharge desk sends one WhatsApp message when a patient leaves, from the hospital's own number. About four hours later, once the patient is home, CareLoop sends one question privately: a score from 1 to 5.
Do patients in India actually complain on WhatsApp?Increasingly, yes. On the National Consumer Helpline, the share of complaints registered through WhatsApp grew from 3% in March 2023 to 20% in March 2025, according to the Department of Consumer Affairs. That covers every sector, not only hospitals, but it is the channel people already use when something goes wrong.
What happens if a patient gives a low score?A score of 1 or 2 reaches the grievance officer in about two minutes, graded by severity, with buttons to acknowledge and resolve.
Do only unhappy patients get asked for a review? No. Every patient who replies gets the same review invitation two hours later, whatever they scored. Filtering by score is against WhatsApp Business Platform rules.
Does CareLoop make our hospital DPDP-compliant?No. CareLoop only messages patients who consented and keeps an audit-supporting record. Compliance responsibility stays with the hospital.
How much does CareLoop cost?₹24,999/month plus a one-time ₹9,999 setup per location, covering up to 800 discharges a month.
