CareLoop
Frequently Asked Questions

Questions hospitals actually ask before saying yes.

How does CareLoop ask patients for feedback?

Your discharge desk sends one WhatsApp message when a patient leaves, from the hospital's own number. About four hours later, once the patient is home, CareLoop sends one question privately: a score from 1 to 5. No app, no login, nothing to download.

What happens if a patient gives a low score?

A score of 1 or 2 reaches the grievance officer in about two minutes, graded by severity, with buttons to acknowledge and resolve. Reminders follow on a schedule set by how serious the complaint is, up to three times.

Do only unhappy patients get asked for a review?

No. Every patient who replies to the feedback message gets the same review invitation two hours later, whatever they scored. Sending it only to happy patients is against WhatsApp Business Platform's rules and risks a listing being taken down.

Does CareLoop make our hospital DPDP-compliant?

No. CareLoop only messages patients who consented and keeps an audit-supporting record of that consent and every event. The responsibility for DPDP compliance stays with the hospital.

Is CareLoop our hospital's official grievance system?

No. CareLoop records what was done and when, and alerts a phone number the hospital designates. The grievance job, and the person doing it, remain the hospital's own appointed grievance officer under applicable law.

How much does CareLoop cost?

CareLoop Standard is ₹24,999 per month, plus a one-time setup fee of ₹9,999 per location, covering up to 800 discharges a month. More volume or more than one location gets a custom quote starting from ₹34,999. Full breakdown on the pricing page.

How long does setup take?

Meta reviews and approves every WhatsApp message template, and CareLoop cannot speed that up. Once templates are approved, configuration, a test discharge, and staff training typically take under a day.

Does CareLoop have a dashboard?

No, on purpose. CareLoop runs on three WhatsApp numbers — discharge desk, grievance officer, and owner — plus a monthly report. There is nothing new to log into.

Who at the hospital needs to be involved?

Three phone numbers: the discharge desk (sends one message per discharge), the grievance officer (gets every alert and reminder), and the owner (gets a monthly summary and one alert if a serious complaint is being ignored). No new hires required.

What departments get left out of the monthly report?

A department with fewer than ten replies is excluded from department-level scoring. With three replies an average is really one person's opinion, and in a small department everyone would know whose.
